Job Description

Position : Executive Assistant

Working Schedule : 8a-5p PST

Salary Range : $1,300-$1,500 (the final salary will be determined by the candidate's level of experience and at the discretion of the client)

Role Overview:


We’re seeking a smart, driven Executive Assistant, fluent in English, who is excited to support our CEO and step up to handle an array of responsibilities. This role is perfect for someone who can think creatively, especially on projects outside the standard EA scope.

 

Key Responsibilities:

  • Calendar Management/Scheduling: Manage and maintain the executive's schedule, including arranging meetings, appointments, and travel plans.
  • Email Handling: Monitor, manage, and respond to emails on behalf of the executive, ensuring timely and professional communication.
  • File Organization: Organize and maintain files on shared servers, ensuring easy access and retrieval of documents.
  • Internal and External Communications: Facilitate communication between internal teams and external clients, acting as a liaison to ensure effective collaboration.
  • Benchmarking Tasks: Conduct research and benchmarking activities to support executive decision-making.
  • Follow Up and Prioritization
  • Extraction of Information into Consolidated Formats

 

Qualifications:

  • A minimum of 3 years of experience in a similar role.
  • Proficient experience in Microsoft Suite ​​​​
  • Proficient experience in Google Workspace
  • Proficiency with Google Calendar is especially important as its central to the role's calendar management responsibilities .
  • HubSpot for CRM and customer interactions
  • Slack for team communication
  • Organization: Highly organized with a keen attention to detail and the ability to manage multiple tasks simultaneously.
  • Communication Skills: Excellent verbal and written communication skills.
  • Tech-Savvy: Proficient in using various software and tools for communication and organization.
  • Proactive: Ability to anticipate needs and take initiative without requiring detailed instructions.
  • Assertive: Must have great confidence and a strong personality.
