Job Description

Job Summary: We are seeking a dynamic and detail-oriented Events Coordinator to join our team. The ideal candidate will be responsible for assisting the Sr. Events Manager in planning, organizing, and executing a wide range of events to promote Proximity Learning’s mission and services. This role requires excellent organizational skills, creativity, and the ability to manage multiple projects simultaneously. This Position is LOCATED IN AUSTIN TX at our headquarters. If you are not in Austin you will NOT be considered.

Key Responsibilities

Event Planning And Coordination

  • Assist the Sr. Events Manager in planning, organizing, and executing a variety of events including conferences, trade shows, and live events.
  • Coordinate logistical aspects of events including venue selection, catering, transportation, accommodations, and technology requirements.

Marketing And Promotion

  • Develop and implement promotional strategies to maximize event attendance and engagement.
  • Create compelling event materials, including invitations, flyers, social media graphics, and email campaigns.
  • Collaborate with the marketing team to develop and execute event marketing plans.
  • Design and manage event registration processes, attendee communications, and post-event follow-ups.

Vendor And Stakeholder Management

  • Identify and negotiate with vendors and suppliers to ensure high-quality service delivery.
  • Build and maintain strong relationships with partners, sponsors, and stakeholders.
  • Coordinate with internal teams to ensure seamless event execution and alignment with company goals.

Support And Administration

  • Assist the Sr. Events Manager with administrative tasks, including scheduling meetings, preparing agendas, and maintaining event documentation.
  • Provide support in tracking event progress and milestones, ensuring deadlines are met.
  • Help manage event-related inquiries and communications.

Qualifications

  • Bachelor’s degree in Event Management, Marketing, Communications, or a related field.
  • 1+ years of experience in event planning and coordination.
  • Strong organizational and project management skills with the ability to multitask and meet deadlines.
  • Experience managing projects with teams remotely and onsite.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Experience with HubSpot or similar CRM and marketing automation tools.
  • Experience with Clickup or similar project management tools.
  • Proficiency in Canva for creating visual content and promotional materials is a plus.
  • Experience with Eventbrite is a plus.
  • Passion and experience in the education space (K-12) are a big plus.
